But how do you ensure you don’t overwhelm yourself or your team?

Now, I can almost hear the collective sigh from here.

We’ve all experienced delegation that felt more like a hailstorm than a gentle rain, right?

🙈 But fear not!

With a fun, easy-to-use tool known as the Kanban system, delegation can be transformed from a daunting task into a smooth process.

So, grab your coffee or some clean filtered water, and let’s dive in!

When I say Kanban, what comes to mind?

You might be like, “WTF is that, Devin?”

Or you might be thinking of colorful sticky notes on a whiteboard. Well, you’re not entirely wrong.

But Kanban is so much more. Originating from the Japanese word for ‘billboard’ or ‘sign,’ Kanban has become a vital productivity system for businesses worldwide.

Let’s take a walk in the park.

Consider a playground: it has swings, a slide, monkey bars, a sandbox, and a teeter-totter. Just as kids run around this playground, tasks in your business are darting around your workspace.

Enter the Kanban system, your metaphorical playground supervisor.

With Kanban, we’ll ensure no task gets stuck at the top of the slide or buried in the sandbox.

The first thing we’re going to do is visualize our workflow. Our playground now has lanes: To-Do, In Progress, and Done. Simple, right?

You can add more lanes depending on the complexity of your operations (those three lanes are technically considered a proto-kanban, but we’ll save that distinction for another day)

Let’s stick to the basics for now.

Here’s where the magic comes in.

Imagine you’re like the manager (a.k.a. the taskmaster) in our playground scenario, and the slide can only accommodate one kid (task) at a time.

If more kids (tasks) climb up, chaos ensues.

This is where your “playground supervisor” (Kanban system) comes in handy.

Let’s say you’re a business coach. Your to-do list includes content development, coaching sessions, sales calls, etc.

Now, you can’t do all this simultaneously (unless you’ve secretly mastered the art of cloning).

This is where delegation comes into play.

You could have your content developer handle content creation while your sales team manages the calls. These tasks move to their respective ‘In Progress’ lanes, keeping your workspace organized and transparent.

Everybody knows who’s working on what and can see how tasks move through the pipeline.

If a task is stuck, it’s easy to spot and address it.

But wait! There’s more.

Consider your social media manager, Jane. Jane’s great at what she does, but she’s already juggling three tasks in the ‘In Progress’ lane.

Loading Jane with more tasks is like sending a fourth kid down the slide before the first three have landed. It’s a recipe for disaster.

This is where the Kanban principle of ‘limiting work in progress’ shines. It allows for better focus, quicker task completion, and less stress.

You don’t want to overload Jane so she can concentrate on producing quality work rather than juggling tasks and losing her mind.

Using a Kanban board, either physically or through project management tools like Trello, Jira, or Asana, you can clearly visualize these tasks and delegate them efficiently.

This doesn’t just make your life easier; it empowers your team by giving them clarity on their tasks and workflow.

Remember, delegation isn’t just about offloading tasks; it’s about empowering your team, making workflow transparent, and increasing productivity.

When done right, delegation is not just a way to lighten your workload but a tool for team building and fostering a healthy work environment.

So, here’s your takeaway: Grab a whiteboard, sticky notes, or your favorite project management tool, and start building your playground. I mean… Kanban board! 😉
